Senior Events Manager

Reporting to the Head of Events, the Senior Events Producer will be responsible for producing and supporting delivery of all Enable’s self-produced events in the calendar that include but not limited to summer festivals, music concerts, theatre shows, and Battersea Park Fireworks. In addition, the Senior Events Producer will research, develop and design new events as part of Enable’s growth strategy.

The role will focus both on developing and delivering Enable’s free community events, in partnership with Wandsworth Borough Council, and expanding and growing revenue-generating event opportunities, in order to sustain and fund the community programmes. Enable is a not-for-profit organisation and all proceeds help us to raise funds to enhance green spaces, public halls and community centres throughout Wandsworth.

We are looking for someone who has extensive experience in event producing and is passionate about joining a creative and growing team to entertain a wide-ranging and diverse audience. An ideal candidate would be someone who is both highly organised and able to manage multiple budgets and project deadlines, and confident with running large scale event sites on the ground. Looking for an excel whiz and creative unicorn.

The role will include team management as well leading freelance event managers.

Responsible for:

Event Production

  • The research, development, design, production and delivery of new events to be produced by Enable as part of the Events growth strategy
  • The oversight of research, development, design, production and delivery on all events produced by the Production Team
  • Work closely with the Head of Events on the growth strategy linked to Enable’s self-produced events
  • Budget planning, new supplier sourcing, contract negotiations and identifying new revenue / sponsorship opportunities
  • Producing all relevant production paperwork including but not limited to site plans, event management plans, safety and emergency plans
  • Booking and managing casual staff assisting with events and ensures that they are fully briefed
  • Liaising with the Marketing Team to ensure they are fully briefed in sufficient time to develop and create marketing strategies and produce relevant marketing collateral
  • Liaising with statutory / Council services and contractors for the delivery of event productions, including but not limited to the following: Environmental Services, Building Control, Highways & Parking, Waste Management, Emergency Services, Public transport operators, Security & First Aid contractors, Grounds Maintenance contractors, and Service and equipment suppliers
  • Acting as the appointed site manager and assisting with the physical set up and dismantling of events, including the management of contractors and suppliers and the distribution and return of events equipment / stores and vehicles as required
  • Named as DPS on the Battersea Park premises licence, and any other premises licences as required
  • Arranging / attending all event production and planning meetings and Safety Advisory Group meetings

Team Management

  • Overall management of the Production Team
  • Line management of Event Production Assistant and any other team members, including freelance event managers

Admin and Finance

  • Budget creation and management, P&L reporting
  • Achieving targeted income set by the Head of Events
  • Monthly reconciliation of the Detailed Transaction Report
  • Seeking quotes for goods and services in line with Enable’s Procurement Code
  • Collating and reviewing all contractor H&S documentation
  • Managing rotas and timesheets for casual staff
  • Diary management, via Priava
  • Applying for TENS and other relevant licensing
  • Raising, filing and organising finance documentation including purchase orders and invoices and keeping the budget up-to-date with all recorded income and expenses
  • Dealing with relevant queries and complaints raised by clients, members of the public and production suppliers or contractors within the agreed timeframes. When necessary, escalating complaints to the Senior Community Events Manager or Head of Events
  • Liaising closely with the wider Events Team and other Enable services to ensure that the events programme is coordinated properly in conjunction with the venues management team
  • Carrying out other duties as directed by the Head of Events

Skills and experience

  • Proven and demonstrable experience of producing and delivering medium to large commercially successful public outdoor events
  • Confidence and experience in running large scale events sites, leading on all operations and being able to think on your feet
  • Excellent budget skills and a keen understanding of creating commercially successful events
  • Fastidious and meticulous attention to detail
  • Confidence in producing all relevant production paperwork including, but not limited to, site plans, event safety management plans, RAMS, production schedules and briefing documents
  • Experience with working across multiple large scale budgets and staying on top of finance administration
  • Experience of booking artists/ performers and sourcing event infrastructure
  • Previous line or team management
  • Passion for creating events to entertain a wide-ranging audience and diverse community
  • Exceptionally high standards of customer service, attention to detail and organisational skills
  • Ability to communicate effectively and professionally in writing, by telephone or face to face with senior management, other staff, clients and members of the public
  • Patience and ability to negotiate professionally with suppliers
  • Ability to enforce measures to meet health & safety legislation or prescribed terms and conditions
  • Hands on/ proactive onsite and pride yourself on going the extra mile to create the best event possible
  • A team player but also be able to manage your workload independently
  • Ability to work under pressure and meet deadlines effectively
  • Proficiency with Microsoft Office applications and have had experience with Xero or other accounting software
  • Confident driver with clean UK manual driving licence
  • Personal Licence (preferable but not essential)
  • IOSH trained (preferable but not essential)
  • CAD trained (preferable but not essential)
  • Flexibility to work weekends, early mornings and late nights as required and able to manage your time accordingly
